How to make a reservation

Contact Venus Adventures either by email (preferably) or phone to check for availability, and then fill in an online booking form on the website. On receipt of your booking form and a £200/US$400/NZ$600/Euros300/AUS$600 non-refundable deposit to secure your booking, your reservation is confirmed. You are required to pay in your currency as seen on the website, or the most local currency to your country. We will remind you 90 days prior to the trip that the balance for your trip needs to be paid that week, or your booking may be cancelled.

Payment of the deposit means you have read and accepted these terms and conditions. On full payment you will receive your pre-departure information.

Cancellation fees

Cancellation of your booking often does not allow time for the re-sale of your space on the trip. The deposit paid on booking your trip is non-refundable and non-transferable, and serves as a cancellation fee.

Cancellation 90 days or more prior to departure - loss of deposit
Cancellation between 60 and 89 days - loss of 50% of trip price
Cancellation less than 60 days prior to departure - 100% loss of trip price

If the client leaves the trip voluntarily after its commencement, there will be no refund.

Cancellation by Venus Adventures

Venus Adventures reserves the right to cancel or re-schedule any trip departure. Reasons for cancelling a trip may be due to not filling the minimum number of participants, political instability, terrorism, natural disasters, or other such circumstances, which may make a trip non-viable. If cancellation is made prior to departure by Venus Adventures due to any of the above, Venus Adventures will refund the client in full or re-book them on another trip if the client so wishes.

Refunds

There are no refunds for any part of the tour not used, eg meals, activities or any other services.

Insurance

You are responsible for arranging all of your travel insurance. Your travel insurance MUST cover at least the following: cover against trip cancellation, plus cover for personal liability, injury, medical emergencies and medical evacuation, repatriation in case of death, and other as recommended by your travel agent.

Fully comprehensive travel insurance is compulsory on a Venus Adventures trip. Without it you may be refused on the trip. You must bring a copy of your insurance cover with you.

Please note that credit card insurance is not acceptable.

Smoking

Smoking is not allowed in any Venus Adventures booked transport, hotel rooms, restaurants, or within the vicinity of the tour group.

Special dietary or medical requirements

While Venus Adventures will do it's best to endeavour to accommodate special dietary or medical requirements, the expectation is that clients will be responsible for their own arrangements. Venus Adventures carries a basic first aid kit, however clients are advised to bring their own personal medication and also a small first aid kit for personal use.

Accommodation

Venus Adventures trip prices are based on a twin share basis, except in circumstances where this is not possible.

Baggage allowance

Please keep your baggage to a minimum and try and bring only what is required on the TO BRING list, as we only have limited baggage capacity, so one bag only per client is permitted, plus one day pack. No hard suitcases please. You must be able to carry your own bag comfortably by yourself. Venus Adventures does not accept responsibility for any lost or damaged bags - please be insured for this.

Visas, Passports, Inoculations

Please ensure your passport is valid at least 6 months after the tour finish date. Check with your travel agent regarding visas, or inoculations - they are your responsibility, make sure you have the appropriate ones.

What is included

All meals, activities, accommodation, transport and guides as stated in the itinerary.

What is not included

Visa fees, international flight costs, meals or activities not stated in the itinerary, airport taxes, personal items, snacks, drinks (except with meals), vaccinations, tips or gratuities, laundry, telephone, minibar, personal travel insurance, alcoholic beverages.

Complaints

We hope not to have any of these, but should you feel that something did not meet your expectations, please write to us in case we can rectify the situation.

Responsibility

Travelling with Venus Adventures requires a certain amount of flexibility, and the itinerary is subject to change if circumstances dictate it to. Clients are expected to accept the authority of the guide/leader/local operator at all times.

Venus Adventures reserves the right to decline, accept or reject any member of the group at any time. Venus Adventures also works in conjunction with ground operators where local knowledge is a valuable part of your experience. To the best of Venus Adventures knowledge these third parties are capable of fulfilling the duties they have been contracted to perform. However Venus Adventures does not take any responsibility for any injury, loss, damage delay due to the behaviour of these third parties.

Venus Adventures offers soft adventures. As with any physical activities, there is a certain amount of risk involved. All Venus Adventure clients acknowledge that they have read the itinerary and understand that they must be of adequate physical fitness to partake in such a trip, and have no undisclosed medical conditions, which may prevent them from partaking in the activities or disrupt the group. Venus Adventures clients also accept that in partaking in such activities they are doing so at their own risk.

I, the client, grant permission for the use of my name, photographs, videotapes and recordings in connection with the tour.

No employee, servant or agent of Venus Adventures has the authority to vary these conditions.
I understand that this is a release of liability and a contract between myself and Venus Adventures and/or its contracted tour operators or affiliated organizations, and I sign this agreement of my own free will. If any part of this agreement is deemed unenforceable, all other parts shall remain in full force and effect.
By reserving a trip with Venus Adventures I, the client, agree to be bound by these terms.
These Terms and Conditions and any contract to which they apply are governed in all respects by New Zealand Law and they shall be subject to the exclusive jurisdiction of the courts of New Zealand.
